Before we release our EIN confirmation letter, W-9, articles of organization, certificate of incorporation, banking instructions on company letterhead, or our DUNS number profile, we confirm the request with a one-minute phone call. Nothing more than one minute.
Our Rule
Every sensitive document request is verified by phone — no exceptions
Fraudsters contact trailer dealers, equipment sellers and vendors every day, posing as clients or buyers in order to obtain company records. Those records are then used to forge paperwork, open accounts in a company's name, or redirect a payment to a fraudulent bank account.
To prevent that, Prime Trail Trailers issues these documents only after we speak with the person requesting them by phone. The call lasts about one minute and covers three things: your business name, your name and role, and which documents you asked for. Once confirmed, we send the documents to you from our official company email.

These are the records fraudsters most often try to obtain by pretending to be a buyer. Each one is released through the verification process below, without exception.
IRS Form W-9
Completed W-9 with our legal name, entity type and Taxpayer Identification Number.
EIN / Tax ID Letter
The IRS-issued confirmation letter showing our Employer Identification Number.
Articles of Organization
State-filed formation documents for Prime Trail Trailers LLC.
Certificate of Incorporation / Good Standing
State registration and standing certificates proving the business is active and in good standing.
Banking Instructions
Wire and ACH remittance details issued on company letterhead for paying an invoice.

Our DUNS registration details, used for vendor onboarding and credit applications.
The Process
How the One-Minute Verification Works
Four short steps. For legitimate buyers this adds a single phone call; for anyone trying to obtain our records under false pretenses, it closes the door.
1. Request in writing
Email us from your business address, or send the request through our contact form and tell us which documents you need and why.
2. We call you — one minute
We call the phone number we already have on file for you. If we have none, we ask for a callback number and confirm it independently against your business listing before calling.
3. We confirm the basics
Your business name, your name and role, and the exact documents requested. Nothing more — no financial questions, no account access.
4. Documents are sent
Once verified, we send the documents from our official company email, usually the same business day.
Verification calls are made Monday–Friday, 9:00 AM–6:00 PM Central Time. Requests received outside those hours are verified the next business day.
Documents That Never Need a Call
Routine sales paperwork is unaffected: price quotes, invoices, order confirmations, bills of sale, shipping and delivery documents, and trailer specification sheets are sent to buyers as normal. Verification applies only to the sensitive company records listed above.
What We Will Never Ask You For
- Ask for your online banking password, card number or account login.
- Ask you to change payment or bank details over email alone.
- Send company documents from a personal email or a different domain.
- Ask you to pay a fee, or to pay into a new account on short notice.
If You Receive a Suspicious Request
If someone contacts you claiming to be Prime Trail Trailers and asks for documents, payment or bank changes, do not reply with information. Contact us directly using the details below and we will confirm whether the request is genuine.
Always dial the number published on this website rather than a number that appears in an unexpected email or text message.
